Complete Fashion Photography Production Checklist: Equipment, Crew & Logistics

A professional fashion photography production needs four areas covered: camera + lenses, lighting + modifiers, digital capture + DIT, and grip + stands. Miss one and the shoot stalls. This complete checklist walks you through every piece of gear, the crew you need on set, and the logistics that turn a good shoot into a delivered campaign.

At Coyote Rent we equip productions for clients like Dior, Hermès, Vogue, Zara, Carolina Herrera and Chanel across Valencia, Alicante, Castellón and the rest of Spain and Europe. The kit below is the same one we ship daily to editorial and commercial sets.

    1. Camera Equipment

The camera body and optics are the foundation. For fashion you want resolution, color depth and lenses sharp enough to hold up under retouching at 100%.

    • Main body: Nikon D850 (45.7 MP) or equivalent full-frame mirrorless. Always carry a backup body.
    • Prime lenses: 35mm f/1.4, 50mm f/1.4 and 85mm f/1.4 (Sigma Art recommended) for portraits and beauty.
    • Zoom: 24-70mm f/2.8 for full-length looks and editorial coverage.
    • Filters: circular polarizer and ND filters if shooting outdoors with wide apertures.
    • Memory cards: minimum 2x CFexpress / XQD 128 GB plus SD backup.
    • Batteries: 3-4 fully charged units per body, plus dual charger.
    • Cleaning kit: blower, microfiber cloths and sensor swabs.

    2. Lighting

Fashion lighting is about shaping, not just illuminating. Profoto remains the industry standard for consistency and color accuracy.

    • Main flash: 2-3x Profoto B1 or Profoto B10 heads (battery-powered, ideal for location).
    • Studio power: 1x Profoto B30 or Pro head for high-output beauty work.
    • Modifiers: 1.5m octabox, 1x4ft strip, beauty dish with grid, 7-inch reflector with grid.
    • Reflectors: 5-in-1 collapsible (silver, gold, white, black, diffusion) and large polyboards (4x8 ft).
    • Diffusers: 6x6 ft silk frame for soft daylight or fill.
    • Triggers: Profoto Air Remote per camera body, with backup batteries.
    • Light meter: Sekonic L-858 or equivalent for precise exposure.

    3. Digital Capture & DIT

The DIT (Digital Imaging Technician) station is where the shoot becomes real. Tethered capture, on-set color, instant client review and bulletproof backups are non-negotiable on commercial fashion productions.

    • Capture cart: Adicam or Mule Digiplate rolling cart with monitor mount and cable management.
    • Workstation: MacBook Pro 16" M3 Pro/Max with 32-64 GB RAM.
    • Reference monitor: calibrated Eizo ColorEdge for accurate color review.
    • Capture software: Capture One Pro with custom client styles and session templates.
    • Wireless video assist: Hollyland Mars 4K for transmitting live feed to stylist, art director and client village.
    • Tether cables: TetherTools 4.6m USB-C with TetherBoost extensions and cable management clamps.
    • Backup SSDs: 2-3x 2 TB SSD for redundant on-set backups (3-2-1 rule applied).
    • UPS / power: small uninterruptible power supply to protect the workstation.

    4. Grip & Studio

Grip is the silent half of any production. Without it, lights fall, fabrics flap and timelines collapse.

    • C-Stands: 4-6 units with grip heads and 40-inch arms.
    • Light stands: 4 heavy-duty stands rated for strobe + modifier weight.
    • Backgrounds: seamless paper rolls (white, grey, black) plus textured backdrops or canvas.
    • Polyboards: 4x8 ft white/black for fill and negative fill.
    • Sandbags: minimum 8 units (15 lb each).
    • Apple boxes: full, half and quarter sets.
    • Clamps & gaffer tape: A-clamps, super clamps, gaffer tape (black + white).

    5. Suggested Crew

The right team is what turns gear into images. For a standard editorial day:

    • Photographer — creative lead, runs the shoot.
    • 1st assistant — lighting, lenses, grip, and on-set problem-solving.
    • DIT / Digital Tech — tethered capture, color, backups and client preview.
    • Stylist + assistant — wardrobe pulls, steaming, on-set adjustments.
    • MUA & Hair — beauty looks and continuity throughout the day.
    • Producer — schedule, locations, talent, permits and budget.

    6. Logistics

    1. Production calendar: pre-pro 1-2 weeks ahead, casting, location scout, fittings, shoot day, post.
    2. Equipment rental: book gear at least 5-7 days in advance during high season (Sep-Nov, Mar-May).
    3. Permits: if shooting on public streets in Valencia, Alicante or Castellón, request the municipal permit 2-3 weeks ahead.
    4. Insurance: equipment + civil liability are mandatory for most studios and rental houses.
    5. Transport: van with cargo space for cart, stands and cases. Always allow extra time for load-in.
    6. Catering & call sheet: meals, water and a clear schedule sent to all departments 24h before.

    FAQ

How many days in advance should I book the equipment?

For standard productions, 5-7 days is enough. For shoots during fashion week or high season, book 2-3 weeks ahead to secure flagship items like Profoto B30 heads or fully configured DIT carts.

Do I really need a DIT for a one-day shoot?

If the client is on set, yes. A DIT delivers tethered capture, color reference, instant approval and backups — meaning fewer reshoots and a cleaner post-production handoff. For commercial fashion, it is standard.

What is the difference between Profoto B1, B10 and B30?

The B1 is the workhorse 500 Ws battery strobe, the B10 is a compact 250/500 Ws option ideal for location and travel, and the B30 delivers higher output for studio beauty and large modifiers.

Can you ship gear outside Valencia?
